How Betterstill handles the information you and your clients trust us with — in plain language, without the fine print doing the talking.

The short version

We collect only what we need to run your studio, we never sell your data, and Stripe handles card details rather than storing them with Betterstill. Studio owners can use the audited client data-request flow to export or erase an individual client’s personal data on that client’s behalf.

What we collect

We collect the information needed to run a studio on Betterstill, and no more:

  • Account details you give us — your name, email address and the basics about your studio.
  • The records you and your clients create in the app — classes, bookings, waitlists, packs, memberships and payment history.
  • Client contact details you add so the app can send the reminders and confirmations you set up.
  • Technical data your browser sends — things like device type and log information — used to keep the service secure and reliable.

How we use it

We use your information to do a small, defined set of things:

  • Run your studio — schedule classes, take bookings, and keep your Today view accurate.
  • Process the payments your clients make and reconcile them against bookings.
  • Send the email reminders, confirmations and lifecycle messages you choose to switch on.
  • Keep the service secure, prevent abuse, and fix problems.
  • Understand how the product is used so we can make it better.

Payments and Stripe

Stripe handles card details directly; Betterstill does not store your clients’ card numbers. Each client payment is created as a destination charge and settles to your connected Stripe account. Betterstill adds no transaction fee of its own — standard Stripe processing fees apply. Stripe processes payment data under its own terms and privacy policy.

How your data is kept separate

Betterstill is multi-tenant software: many independent studios share the same system, but each studio’s data is isolated at the database itself, not only in application code. Another studio cannot see your clients, bookings or revenue.

When we share it

We don’t sell your data or your clients’ data, and we don’t share it for anyone else’s advertising. We share information only with the service providers we rely on to run Betterstill — for example the payment processor that moves your money and the email provider that delivers your reminders — and only to the extent they need it to do their job. We may also disclose information if the law requires it.

Your choices and requests

A studio owner can use Betterstill’s audited data-request flow to export or erase an individual client’s personal data on that client’s behalf. Erasure anonymizes the client’s identity and redacts personal free text; transactional, financial, legal and audit records remain where they must be retained. Studio owners can start that process through the studio dashboard. For any privacy question, email privacy@betterstill.co.

Retention

Soft-deleted client notes are kept for 30 days before they become eligible for permanent deletion, unless a legal hold applies. Client erasure keeps de-identified transactional, financial, legal and audit records while removing the client’s identifying personal data.

Changes to this policy

When something meaningful changes, we’ll update the effective date and make the change visible here.
